This position is based in the Paris Office Conference Center, which plays a critical role in hosting World Bank Group events such as trainings, retreats, high-level meetings, and arbitration sessions. Department and Work Environment
The role sits within the Global Corporate Solutions (GCS) Department, specifically under Conference Services (GCSCA). This unit is responsible for the safe, efficient, and cost-effective delivery of food and conference services across World Bank Group facilities.
As a Conference Assistant, you will work closely with colleagues in Paris, Washington D.C., and other country offices, as well as external vendors and service providers. You will report to the Senior Program Manager at headquarters, with a dotted-line reporting relationship to the Senior Conference Assistant in Paris.
Key Duties and Responsibilities
The Conference Assistant plays a hands-on role in ensuring that events run smoothly from planning to completion. Key responsibilities include:
- Providing logistical and organizational support before, during, and after conferences and events.
- Scheduling and coordinating onsite events using the Event Management System (EMS).
- Liaising with event organizers to confirm requirements and maintain strong working relationships.
- Coordinating with internal service partners such as IT, Security, Facilities, Accounting, and Print & Mail Services.
- Supporting events hosted at the Sofia Conference Center in Bulgaria, which operates as an extension of the Paris office.
- Managing relationships with vendors, including caterers and temporary staffing agencies, and placing service orders.
- Assisting with invoice processing, approvals, payments, and vendor documentation.
- Serving as a key contact for preparing event materials such as access badges and name tents.
- Collecting client feedback and proposing improvements to conference services.
- Reporting facility or maintenance issues and following up on resolutions.
- Acting as a backup to the Senior Conference Assistant during absences.
This role requires frequent interaction with internal and external stakeholders, including World Bank Group senior management, making professionalism and discretion essential.
Required Qualifications and Skills
To be competitive for this role, candidates should meet the following criteria:
- Education: Minimum of a high school diploma (Bachelor’s degree preferred).
- Experience: At least five years of relevant professional experience, or an equivalent combination of education and experience.
- Languages: Excellent oral and written communication skills in English and French (both are required).
