This role is ideal for a motivated, proactive administrative professional who thrives in a fast-paced, high-level international environment. The Team Assistant will provide comprehensive administrative and organizational support to the Executive Director’s office, working closely with senior leadership and colleagues to ensure the smooth and efficient functioning of daily operations.

Working Environment and Reporting Line

The Executive Director’s office is a high-profile, results-driven environment that engages extensively with senior World Bank management, staff across WBG institutions, and external stakeholders. These include government ministries, embassies, private sector representatives, non-governmental organizations, and academic institutions from the countries represented.

The Team Assistant will work alongside an Alternate Executive Director, Senior Advisors, Advisors, a Senior Executive Assistant, and a Program Assistant, and will report directly to the Executive Director. Collaboration, discretion, and professionalism are essential, as the office handles sensitive information and interacts regularly with high-level officials.

Key Roles and Responsibilities

Under the guidance of the Senior Executive Assistant, the Team Assistant will deliver a full range of administrative support functions. Key responsibilities include:

  • Managing schedules, appointments, and mission travel while resolving conflicts and prioritizing urgent matters.
  • Handling sensitive and confidential information with the highest level of discretion and professionalism.
  • Drafting, formatting, and responding independently to a wide range of correspondence in English and Arabic, both formal and routine.

  • Coordinating meetings by ensuring background materials are prepared, deadlines are met, and documentation meets quality and compliance standards.
  • Maintaining and updating filing systems and administrative records.
  • Screening and prioritizing incoming calls, mail, and correspondence, and following up on key actions and issues.
  • Supporting common service tasks across administrative staff and coordinating timely delivery of outputs.
  • Assisting with administrative arrangements related to staff appointments and relocations.

  • Providing logistical and administrative support during official events, including the World Bank/IMF Annual and Spring Meetings.
  • Accompanying the office team to Annual Meetings held in member countries (approximately once every three years), when required.
  • Performing ad hoc duties and serving as backup support to other team members as needed.

Required Qualifications and Skills

To be successful in this role, candidates must meet the following criteria:

  • A high school diploma with a minimum of five years of relevant administrative experience, or an equivalent combination of education and experience. An undergraduate degree is preferred.
  • Excellent command of written and spoken English and Arabic, with the ability to draft professional correspondence independently.

  • Strong organizational and office support skills, with a proactive approach to prioritization and time management.
  • Demonstrated ability to handle confidential and sensitive information with discretion.
  • Superior interpersonal, communication, and diplomacy skills, particularly when dealing with high-level government officials and diverse stakeholders.

  • Proven capacity to perform effectively under pressure in a fast-paced environment with changing priorities.
  • Advanced proficiency in office and collaboration tools, including Microsoft Office, Outlook, Webex, Teams, and SAP/Admin Portal.
  • Willingness and flexibility to work overtime, including weekends, when required.
